TO: ALL ELECTED AND APPOINTED GRAND LINE OFFICERS, PERMANENT MEMBERS, TRUSTEES OF THE MASONIC HALL & HOME, TRUSTEES OF THE CHANCELLOR ROBERT R LIVINGSTON MASONIC LIBRARY, DIRECTORS OF THE MASONIC MEDICAL RESEARCH LABORATORY, GRAND LODGE COMMITTEEMEN, DISTRICT DEPUTY GRAND MASTERS, GRAND LODGE STAFF OFFICERS AND LODGE MASTERS & SECRETARIES

SUBJECT: GRAND MASTER’S POLICY ON THE 2018 GRAND LODGE ELECTION {EFF. 9/13/2017}

Dear Brethren:

In an effort to promote a well-informed electorate and membership, and a consistent and uniform procedure, I have established the following policy and rules applicable to ALL prospective candidates for elected Grand Lodge Office:

a) Each and every proposed candidate for elected Grand Lodge Office must submit concise Curriculum Vitae, defining their Masonic credentials, Grand Lodge number and qualifications; Professional, Educational and work-related credentials and qualifications; and their personal history (i.e. Military Veteran, and any membership/awards from other fraternal and/or civic Organizations). The Curriculum Vitae MUST contain a valid E-mail address where the proposed candidate can be contacted and the name of the office being sought.

b) Each and every proposed candidate for elected Grand Lodge Office is requested to submit his Vision Statement for Grand Lodge.

c) Each and every proposed candidate for elected Grand Lodge Office is requested to submit a Statement of Commitment acknowledging their personal investment of both time and finances to the elected office being sought.

d) Each and every proposed candidate for elected Grand Lodge Office will submit a letter (signed and dated) from either the District Deputy Grand Master or District Advisor of his District, acknowledging the brother’s candidacy for elected Grand Lodge Office.

e) The above Curriculum Vitae, Vision Statement, Statement of Commitment, and the Acknowledging Letter are to be mailed or delivered directly to the Office of the Grand Secretary to arrive on or before Wednesday, November 1, 2017. {There is no limitation placed on the number of pages for the above noted items and documents. However, care should be taken to present their candidacy in as succinct a manner as possible.}

f) Each candidate for elected Grand Lodge Office must be a Past Master of a Lodge in the Grand Lodge of the State of New York.

g) The candidates for elected Grand Lodge Office will not be interviewed and will not participate in any “Meet the Candidate” Nights.

h) Candidates have the prerogative to run from the floor at Grand Lodge. However, those candidates who choose to run from the floor will forego having their names published in the Grand Secretary’s Call Letter for Grand Lodge, and they will forfeit having their résumés inserted into the packets that are placed on each seat within the Grand Lodge Room prior to the start of the Annual Communication.

i) All of the declared candidates for elected Grand Lodge Office are permitted and encouraged to accept by invitation speaking engagements at Masonic Lodge and/or District events, provided the candidate and/or his friends and associates do not overtly announce, campaign, pander or explicitly solicit support for votes on behalf of the candidate. Such actions are defined as electioneering and they are strictly prohibited by this policy in keeping with Section 501 of the Constitutions.

The candidates officially declared and in compliance with the rules and procedures outlined above will be summarily listed in the Grand Secretary’s Call Letter for Grand Lodge issued on or about March 31st. Individuals who miss the cut-off date {November 1, 2017} and/or are not in compliance with the above noted policy and rules will not be listed in the said Call Letter.

Any and all candidates for elected Grand Lodge Office, if they so choose, and have complied with the rules and procedures previously outlined, will be permitted to have a one-sheet résumé (measuring 8½” X 11”, both sides, front & back in black and white – No Color) with the candidate’s photograph, listing and/or a description of the candidate’s qualifications thereon for distribution at the Annual Communication of Grand Lodge on Monday, May 7, 2018 in a manner consistent with the instructions described below:

If the properly declared candidate chooses to have his résumé distributed at Grand Lodge, he must ensure that a minimum of 1,200 preprinted black & white single-page copies of the said résumé are delivered to the Assembly Point as hereby noted at the bottom of this notice no earlier than Monday, April 2, 2018 and no later than Friday, April 20, 2018, where it will be inserted into the packets that are placed on each seat within the Grand Lodge Room prior to the start of the Annual Communication on May 7, 2018. The front side of the résumé needs to clearly identify the candidate’s full name and the name of the elected Grand Lodge Office that is being sought, e.g. Brother Hiram Smith for the office of Senior Grand Warden. Any résumé received by the Assembly Point that does not comply with this directive or is received after April 20th will be discarded at the candidate’s own expense.

In keeping with Section III of the Rules of Order, as last amended by the vote of the Grand Lodge at the 224th Annual Communication held in May 2005, in nominating an Officer of the Grand Lodge, a Brother (the candidate himself or another brother) shall not be permitted to speak more than five (5) minutes, and there shall be no seconding for any nominations.

By my direction and order, the above notice is to be read at the next Stated Communication of every Lodge within the jurisdiction of this Grand Lodge.

I expect all of my brothers to fully cooperate and abide with this directive and order.
